Camperdown Tennis Unit Trust (ABN 81 411 431 907) trading as Camperdown Tennis is responsible for the personal information collected through our website and services. This policy explains what we collect, how we use it, and the choices you have.
We collect the details you give us — your name, email address, phone number, your booking and registration history, and anything you write to us. We record whether a payment succeeded; your card details are handled by our payment processor and are never stored by us.
Where you register a child, we also collect that child's name, date of birth, any medical or allergy information you provide, emergency contact details, and whether you have given permission for photographs.
We also record basic technical information when you use our website, as described under "How we use it" below.
We use your information to deliver and manage your bookings, registrations and competition entries, to take payment, to answer your enquiries, and to send you service messages about activity you have with us.
Authorised staff can see a participant's medical and emergency details at the time of their session. That is a safety and duty-of-care use, and access is limited to the people who need it to run the session.
We send marketing messages only if you have opted in, and every marketing email and SMS includes a way to stop them — reply STOP to an SMS, or use the unsubscribe link in an email. Opting out of marketing does not stop service messages about a booking you have made.
We run our bookings and communications on Sweepa (Revilob Pty Ltd), which stores our data securely in Australia (Sydney) on our behalf. Sweepa and its service providers (database, authentication and file storage — Supabase; payment processing — Stripe; application hosting — Vercel; DNS, bot protection and content delivery — Cloudflare; email delivery — Resend; SMS, phone numbers and voicemail recordings — Twilio; mobile push notification delivery — Expo; AI-assisted features — Anthropic; rate limiting and queues — Upstash; error monitoring and diagnostics — Sentry) act on our instructions.
Our core records are stored in Australia (Sydney). Some of the service providers above are based overseas — Stripe, Resend, Twilio, Expo, Anthropic and Sentry operate in the United States, and Vercel and Cloudflare deliver from locations worldwide — so using our services involves disclosing your information overseas. We take reasonable steps to ensure those providers handle it consistently with the Australian Privacy Principles.
If you give us someone else's details — a player, a team-mate, an emergency contact — please make sure they are happy for you to do so.
A parent or guardian may ask to see, correct or delete the information we hold about their child. Older children may make those requests themselves where they are able to understand them; if you are unsure, contact us and we will work it out with you.
You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it — just contact us at play@camperdowntennis.com.au or 02 9559 0055. We will action a deletion request unless we are required to keep something, for example a financial record we must retain by law.
We keep information for as long as we need it for the purposes in this policy, or for as long as the law requires — financial records, for example, have their own minimum periods.
Deletion on request is available today: ask us and we will action it. We do not yet remove records automatically once they are past the point of being useful, so if you want yours deleted, please ask rather than waiting for it to happen on its own.
If you think we have mishandled your personal information, please contact us first so we can try to put it right. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
If a data breach occurs that is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme. Our platform provider is contractually required to tell us about any breach affecting our data so that we can act on it.
